We gather and use certain information in order to communicate about and to provide products and services; to enable certain functions on the website; to respond to a specific enquiry; and, to facilitate our day to day operations. We retain this information in a secure data base and may send, from time to time, communications which we think you may find interesting and may be related to your initial enquiry.

What are the grounds for processing your information?

We are processing your data on the following grounds:

– Because you have filled in our online ‘contact us’ form and we have a legitimate interest in communicating with you to respond to your enquiry. In accordance with our obligations under data protection law, we have carefully weighed up your interests and fundamental rights and freedoms against our interest to process your information and we are satisfied that we are justified in processing your information for this purpose

  • To process any orders you make via email, over the phone or on our website. If we don’t collect your personal data during checkout, we won’t be able to process and deliver your orderand comply with our legal obligations e.g. your details are passed to a courier company so that your order can be delivered. We will keep your details for a reasonable period afterwards in order to fulfil any contractual obligation such as a refund or exchange.
  • Our customer care team need to be able to respond to your queries, complaints or process a refund so we need your contact informationin order to respond. We will keep a record of your information including notes on how we communicated with you and what was discussed. We do this on the basis of our contractual obligations to you, our legal obligations and our legitimate interests in providing you with remarkable customer service and it helps us improve this service to you.
  • We keep your personal data to maintain, update and safeguard your account and to protect our business and your account from fraud or other illegal activities. We’ll also monitor your browsing activity in order to identify and resolve any problems and protect the integrity of our websites. We’ll do all of this as part of our legitimate interest.
  • For example, by checking your password when you login and using automated monitoring of IP addresses to identify possible fraudulent log-ins from unexpected locations.
  • When you place an order with us, your card details are collected by our third party payment processors SagePay who use secure online capture and processing methods.This helps to protect you from fraud. We do this on the basis of our contractual and legitimate business interests.
  • All artwork provided to us is kept for a minimum of 5 years, this is purely to facilitate repeat orders and for reference for future/past jobs. This artwork is not shared with any third party company and is held securely, you can let us know at any time if you would like your artwork files removed from our system by emailing
  • The processing is necessary for us to comply with our legal obligations.

Who we need to share your personal data with and why

At times we need to share your personal data with trusted third parties e.g.  delivery couriers, IT companies, mailing houses, credit card processing services and so on. We only provide what they need and they cannot use your data for anything other than the purposes that they have your data for. Your data is deleted or rendered anonymous if we stop working with them.

We want your customer journey with InkingBig Ltd (from ordering to fulfilment of your order) to be as smooth as possible. We use the following companies who will process your personal data as part of their contracts or terms and conditions with us:

  • Google Analytics – for monitoring the volume, details and actions of visitors to our website
  • Facebook – for personalising ads into your news feeds (which you can opt out of on Facebook)
  • Advantec Internet – our web hosting provider
  • The Mailing People – an example print management company who helps us send postal mailings out to you if you are signed up
  • APC Overnight and City Sprint – our couriers for national delivery service
  • Hotjar – which records an anonymous version of some customer journeys on our website to help us improve the user experience

Please note the above suppliers are non exhaustive and may change from time to time, but we will endeavour to keep the list above accurate and as up-to-date as possible.

Duration and Further Processing

We only keep your information for so long as it is reasonable necessary. When setting our data retention periods, we consider the amount, nature and sensitivity of the information we hold, the potential risk of harm from unauthorised use of disclosure of the information and the purposes for which we process the information (including whether we can achieve those purposes by other means). We also take into account our other legal obligations to keep or securely dispose of personal information.

Generally speaking, we retain your initial enquiry information for a period of 2 years.
